Technical Requirements
- Access to the internet.
- One of the following browsers:
- Windows Internet Explorer (version 6 or higher) or Firefox (version 3 or higher)
- Mac -Firefox (version 3 or higher) or Safari (version 3 or higher)
Setup
We will handle the setup, including:
- Setting up a dedicated EZCollab application and SQL Server database for you on our server.
- Creating a sub-domain in the format: YourCompany.denohow.com.
- In the event that you don’t want to use this sub-domain format, we can (free as part of our service) obtain and set up a dedicated domain you can use for this application.
- Add your company logo to the login page. Or if you wish, customize the login page to look much like your existing company website. If you like, you could then add a link from your website to this login page and users would feel like this is an extension of your company website
For the license option, you would be responsible for the installation. The setup would be fairly straightforward for your IT staff. We would provide installation instructions and help out as needed to ensure a smooth install.
Training
We strongly believe that training is an integral part of what we provide to you. We don’t just sell software. We are a full service shop. We feel that our job is not done until your people are using EZCollab on a daily basis and are making full use of what this application has to offer.
If you are in the Amman area, we would typically do training at your location. If you are outside the Amman or Jordan, we typically do training remotely via WebEx. This training is free as part of our service to you. If you are outside the Amman area but want in-house training, we can come out to your location but there would be additional fee to do so.
We customize our training to suit your needs. For small groups, we typically do all the training in one session. For larger groups, we can break your people up into groups, typically by user type (for example, managers, administrators & power users, and general users). Another option is for us to “train the trainers”, who then do much of the training within your organization.
Launching
Once your application is up and running, the first step is training. This shows your team how the application works, how they can organize their workload, and how improved collaboration will benefit everyone. But it also has the benefit of sending a clear message to your organization that you are launching this new initiative.
People are naturally resistant to change. This is to be expected. They think, “Why should we change what’s already working?” What you’ll need is some managerial momentum to kick-start things and overcome this natural resistance. Here are some ideas you might find useful:
- Make full use of our training. This gets the word out and we’ll have the opportunity to gently show them how they will benefit. This also gives us the opportunity to show them some of the cool features they’ll enjoy using.
- You can “sell” the benefits to your key stakeholders, those who will benefit the most by using this application. These people might be your operational managers, project managers, team leads and your customer service group, for instance. If structured properly, much of the “selling” can occur within the initial training itself.
- Show strong managerial support for this initiative. A simple way to do this would be for you, as a manger, to quickly give out 20-30 assignments through this application. Your team will then be nudged into using this application. This is a simple way to lead by example.
As you might expect, we use the EZCollab application to manage our own customer support and internal operations. Once you are up and running, you may have questions or issues along the way. Just give us a call and we’ll be glad to help. If the issue cannot be resolved over the phone and will take more work on our part, we’ll open a work request on your behalf. Or if you prefer, you’ll be able to log into our support site and open the work request yourself. Having your work request on record will allow you to follow up on progress along the way.
Support
Hosting
We’ll handle the hosting, upgrades and maintenance on our server. This eliminates the need for you to install and maintain the software and database. With SAAS, your initial costs will be lower, and you will be up and running quickly.
Upgrades and Technical Support
Enhancements are free and automatic with SAAS. Each time we apply an upgrade, we will send you release notes so that you are kept up-to-date on all improvements we make. These upgrades will be applied during off hours and you will be notified ahead of time.
Technical support is also free with SAAS. As you might expect, we use EZCollab in-house to handle your support requests. This gives you a running track record of any issues you might have over time. We also encourage you to submit ideas here for future enhancements. But if you need more personal or immediate attention, just give us a call.
If you buy an EZCollab license, upgrades and technical support will be free to you in the first year. After the first year, you can purchase an annual maintenance agreement that covers continued upgrades and technical support.
